Eligibility for Student Employment

  • Students with Federal Work Study or DePauw (Institutional) Work Study included in their financial aid package are eligible to apply for any position listed on the student employment job board. Work Study eligibility is determined through the financial aid process.
  • For students without Work Study in their package, job opportunities are limited to positions requiring specific skills or specializations.
  • Students can review their financial aid package and determine their work study eligibility on  or by contacting the student employment office directly.
  • It's important to note that students may not exceed their Work Study award for the academic year. Once the total amount has been earned, students will no longer be eligible to work. To ensure students stay within their Work Study award cap, it's recommended that most students should not work more than 8-10 hours per week. 

Student Employment Application Process

  1. Search and apply for student jobs  by navigating to "Student Jobs" and then "Open Student Jobs." All students must apply for any position they wish to hold to be legally hired.

  2. After receiving a job offer, complete hiring paperwork/onboarding in Workday. If you've worked on campus before, you only need to apply and accept the offer in Workday.

  3. Present original identification documents (e.g., no copies, pictures or faxes) in person at the Financial Aid Office. Acceptable documents include:

    • One picture ID (e.g., driver's license or DePauw ID) and one non-picture ID (e.g., social security card or birth certificate)

    • A valid passport (serves as both picture and non-picture ID)

Important Note: Students may not begin working until they complete all required paperwork/onboarding in Workday and receive confirmation from Student Employment clearing them to work.

  1. Search and apply for student jobs by navigating to "Student Jobs" and then "Open Student Jobs". All students must apply for any position they wish to hold to be legally hired.
  2. Apply for a Social Security Number (SSN) by starting the .
  3. Complete the SSN Application by visiting the Social Security Office, located in Crawfordsville, within 45 calendar days with the required documents:
    • Passport from country of residence
    • Reference number from online SSA application
    • Letter from DePauw's Designated School Official (DSO)
    • Job offer letter from on-campus supervisor (wet signature required)
  4. Bring your SSA application receipt, I-94, I-20, and passport to the Financial Aid Office for temporary work clearance. These documents will tentatively clear a student to work for 90 days while their Social Security Card (SSC) comes in the mail.
  5. Once the Social Security Card arrives in the mail, bring it to the Financial Aid Office, where you will complete the remaining hiring paperwork.

Important Notes:

  • Students may not begin working until they receive confirmation from Student Employment clearing them to work.
  • International students may never exceed 20 hours per week of employment to maintain immigration compliance.
  • International Student Affairs (ISA) may offer transportation to the Crawfordsville Social Security Office early in the semester. Afterwards, students will need to schedule their own appointments and arrange transportation. Please reach out to ISA for assistance.
